Introduction

United Family Medicine (UFM) is hiring a full-time Human Resources Generalist/Recruitment Lead to manage the day-to-day HR duties for the clinic and focus on exploring and leading initiatives that enhance the employee lifecycle. These include employee relations, recruiting, compensation, benefits, performance evaluations and training for clinic staff. This position also leads researching, developing and implementing effective recruiting and staffing strategies to attract a diverse pool of qualified and capable talent for the organization.

ESSENTIAL FUNCTIONS:

Recruiting/hiring:

  • Collaborates with department managers to identify and draft detailed and accurate job descriptions and hiring criteria. Reviews and updates job descriptions with managers on a regular basis and ensures managers use those updated versions in all reviews, feedback and cost of living increase discussions.
  • Identifies and implements efficient and effective recruiting methods and strategies based on the available role, industry standards, and the needs of the organization.
  • Responsible for maintaining recruiting platforms and training managers on the recruiting, hiring and interview process all done via recruiting platforms.
  • Responsible for all job postings and advertisement processes.
  • Screens (including phone screens) applications and selects qualified candidates to send on to managers for interviews, as needed.
  • Schedules interviews as needed; oversees preparation of interview questions and other hiring and selection materials.
  • Assists with the interview process, attending and conducting interviews with managers, directors, and other stakeholders.
  • Collects documentation from managers and also documents all interviews.
  • Collaborates with the hiring manager and/or other human resource staff during the offer process, identifying and recommending salary ranges, incentives, start dates.
  • Ensures compliance with federal, state, and local employment laws and regulations, and company policies.
  • Attends and participates in college job fairs and recruiting sessions.
  • Maintains relationships with headhunters and talent search firms to assist in recruiting efforts as needed.
  • Performs other duties as assigned.

Employee Onboarding/ Offboarding:

  • Works with new hires and hiring managers to schedule and execute HR onboarding.
  • Manages and tracks all required paperwork for new hires.
  • Set up the new hires in HRIS system Paylocity.
  • Responsible for the termed employees’ offboarding process.
  • Explores opportunities to streamline organizational onboarding processes by partnering with key internal stakeholders.
  • Secure the information employees need to thrive, such as how the company works, the benefits of contributing their best effort to the company, training opportunities, and incentives.

Employee Experience:

  • Measure key moments in the employee lifecycle and employee engagement and create meaningful opportunities for staff connection/care through employee morale and retention initiatives such as stay interviews, career development meetings, employee surveys, and exit interviews.
  • Manage logistics of Annual Employee Engagement Survey.
  • Partner with leadership to reimagine employee engagement committee and opportunities to increase employee morale.
  • Manage and execute the process for monthly employee recognition initiative, UFM Shining Star Award.
  • Collaborate with the HR team to maintain knowledge of trends, developments, and best practices in employee retention, morale, recognition, productivity, and incentive.

Partner with HR team in Employee Relations

  • Address employee conflicts and complete investigations as required.
  • Attends and participates in employee disciplinary meetings, terminations, and investigations.
  • Provide counsel to employee and managers on constructive resolution of employee relations issues.
  • Partner with management to recommend employee discipline or corrective action when needed.
  • Assess employee engagement and retention, and actively work to identify and analyze trends through stay/exit interviews and other employee surveys.
  • Manage leave of absence process, which includes but are not limited to FMLA, ADA, Workers Compensation, etc.

Compliance

  • Assists in the development and implementation of personnel policies and procedures; prepares and maintains the employee handbook.
  • Participate in the development and implementation/facilitation of training programs for management teams including but not limited to: labor and employment laws, hiring/interviewing, annual compliance training benefits, etc.
  • Prepare for and conduct audit as needed for I-9’s, client verification requests, and ensure other required documents are completed and properly filed, among other tasks.

Benefits

  • Serves as back up for managing all benefits processes (including health, dental, life insurance, short and long-term disability plans, retirement plans, flexible spending and COBRA).
  • Assists in the open enrollment implementation, including informational and/or help sessions.
  • Conducts new employee benefits orientations.

Other administrative duties

  • Manage all UFM organizational charts and related FTE counts.
  • Serves as back for the biweekly payroll processing, reporting and other functions related to payroll.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with good negotiation tactics.
  • Ability to create and implement sourcing strategies for recruitment for a variety of roles.
  • Proactive and independent with the ability to take initiative.
  • Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
  • Proficient with or the ability to quickly learn applicant-tracking software or other recruitment systems.
  • Working knowledge of multiple human resource disciplines, including compensation practices, employee relations, diversity, performance management, and federal and state respective employment laws.
  • Proficient with Microsoft Office Suite and HRIS software/platforms.
  • Ability to work independently or on a team.
  • Ability to work in a fast-paced clinic environment.
  • Skill in identifying problems, problem solving and resolution.
  • Demonstrate sound judgement and decision-making abilities.
  • Ability to perform the job in accordance with United Family Medicine’s Standards of Business Conduct, which includes compliance, ethics and integrity, confidentiality, protection of assets and avoidance of conflicts of interest and inappropriate business relationships. Specifically, work processes that involve billing/collections practices for avoiding activities that constitute fraud and abuse.
  • Excellent time management skills with the ability to prioritize workflow and meet stringent deadlines.

EDUCATION/EXPERIENCE:

  • Bachelor’s degree in Human Resources or related field, or equivalent work experience, required.
  • A minimum of two years of experience as a human resources generalist is required.
  • At least three years managing all phases of the recruitment and hiring process highly preferred.
  • Experience in a healthcare organization is strongly preferred.
  • Experience building and maintaining relationships with diverse employee groups is preferred.
  • Knowledge of Paylocity is strongly preferred.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • SHRM-CP or SHRM-SCP preferred.
  • SHRM’s Talent Acquisition Specialty Credential a plus.

PHYSICAL DEMANDS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
